Brand Facts in AI Search: A Source-by-Source Correction Workflow
A practical workflow for correcting rebrands, retired products, and conflicting company facts across your website, BrandSource, and the sources cited in AI answers.

A rebrand can be complete in your design files while the public record still describes the old business. Your homepage carries the new name, a product guide lists a retired offering, and a directory points to the former company's social profile. An AI answer may then cite a real page while repeating a fact you no longer consider current.
The useful question is specific: which public source supports this particular claim today? This guide provides a correction workflow for brand owners and editors. It builds on our September profile freshness checklist with a way to document contradictions, repair the relevant sources, and verify the result.
The platform guidance linked below was reviewed on September 29, 2026. The workflow and hypothetical example are BrandSource editorial recommendations; they are not evidence of a measured ranking improvement.
1. Record the incorrect claim and its actual source
Start with one consequential error: the wrong official website, a discontinued product presented as available, or a parent company described as the brand itself. Save the answer text, the question you asked, the date, the search surface, and each cited URL. If the answer provides no citation for the claim, record that absence.
Open the cited page and locate the sentence that supposedly supports the answer. Classify what you find:
- The page is wrong: its current text contains the disputed fact. - The page is historical: it accurately describes an earlier period, but that time limit disappeared in the answer. - The page concerns another entity: a similar name, parent, subsidiary, or product has been substituted. - The citation does not support the claim: the answer adds something the linked page never says.
These categories determine the repair. Correcting an obsolete product page is within your control. An accurate historical announcement may only need clear dates and a link to the current offering. If the source already says the right thing, preserve that evidence before making speculative changes to otherwise accurate content.
2. Build a short evidence record for each disputed field
Use a shared document with six fields: the claim, the current value, its scope, a primary source URL, the date checked, and the person responsible for maintaining it. Scope matters. An incorporation date, a first product launch, and a public rebrand are different events; a mailing address and a headquarters are different facts.
For a hypothetical company called Cedar Beacon, an evidence record might say: “Cedar Beacon is the trading name used since September; Beacon Holdings Ltd remains the legal entity; Beacon Classic stopped accepting new customers in July.” Link each statement to the relevant company announcement, legal notice, or product documentation. Do not compress those three statements into “founded in September.”
When sources conflict, write down the conflict. Confirm a legal name against an appropriate official record, and confirm product availability against current product or support documentation. If you cannot establish a fact, mark it unresolved in your working record and avoid publishing an unsupported definitive claim.
3. Align identity fields without flattening real distinctions
Google documents Organization markup as a way to clarify a business's identity. Its supported properties distinguish the public name, registered legal name, website, and logo. Use the relevant fields accurately instead of forcing every name into one string. Google's Organization documentation
Check the visible About page, homepage markup, brand profile, and linked social profiles side by side. A reader should be able to tell which business each page represents and which names are current or historical.
Treat each sameAs destination as an identity check. Schema.org defines that property for a reference page that clearly identifies the same subject. In practice, open the destination and verify it: an agency that serves the brand, an acquired product, or a similarly named company should not be treated as the brand's identical identity. Put ownership and commercial relationships in explanatory text or appropriate relationship fields. Schema.org sameAs definition
For BrandSource, compare the profile's summary, website, products, headquarters, and evidence links against your record. Use the claim process when you need to request a correction. A directory entry should cite evidence for its facts; appearing in a directory does not make an unsupported statement true.
4. Publish the correction where people can read it
Give the current offering a clear, accessible page. Explain what changed, when it changed, and whether existing customers are affected. If the old product remains available to existing accounts, say that explicitly. A vague “new chapter” announcement is difficult to use as evidence for a precise availability question.
Check that the important facts appear in visible page text and agree with structured data. Google's guidance for AI Overviews and AI Mode says supporting pages need to be indexed and eligible for a Search snippet. It also says no special AI markup or new machine-readable file is required, and eligibility does not guarantee appearance. These are Google's requirements, not a universal contract for every AI service. Google's AI features guidance
Our practical sequence is to fix the original factual page, update the pages that summarize it, and then check for inconsistent cached versions. Record the substantive change before advancing an editorial verification date. Keep a historical announcement dated as history instead of silently rewriting the past to match today's business.
5. Separate duplicate URLs from separate sources
A duplicate page and an independent description of your company need different treatment. Google's canonicalization guidance concerns duplicate or very similar pages; redirects and canonical annotations help indicate the preferred version. Keep internal links and sitemap URLs consistent with that choice. Google's canonical URL guidance
For Cedar Beacon, an old product URL permanently replaced by an equivalent new page may need a redirect. An archived announcement with historical context may deserve to remain accessible. A BrandSource profile and the company's own About page can each serve a distinct editorial purpose; their facts should agree without pretending they are the same page.
After a material correction, update discovery signals honestly. Google says sitemap lastmod should reflect a significant page change. IndexNow can notify participating search engines when a URL changes, but submission does not guarantee indexing. Neither step proves that an AI answer has refreshed. 6. Verify factual accuracy separately from citation volume
Revisit your small set of saved questions after the corrected source is accessible. Record whether the answer identifies the right entity, gets the disputed fact right, and cites a page that actually supports it. Keep the date and exact wording so a later reviewer can reproduce the comparison as closely as the service allows.
Bing Webmaster Tools' AI Performance report provides page-level citation activity and grounding-query information for supported Microsoft and partner experiences. Microsoft describes citations as aggregated across supported surfaces and the grounding-query data as a sample; page citation counts do not measure ranking or importance. Use the report to find pages worth inspecting. Our recommendation is to treat changes as observations, since a rise in citations alone cannot establish that your edit caused it. Microsoft's AI Performance announcement
Keep two separate notes: “our source now states the correct fact” and “the sampled answer now states the correct fact.” The first confirms a publishing task. The second records an observation on that surface at that time. If an answer stays wrong while the source is right, save the mismatch and use the service's feedback option where available; do not invent new facts or add unsupported claims to chase one answer.
A useful completion standard
Close the correction when the controlled source pages agree on the scoped fact, evidence links work, identity links point to the intended entity, and the verification record explains what was checked. Assign a new review when a product is retired, ownership changes, a rebrand launches, or an address moves.
Start with your BrandSource profile and one disputed fact. A documented correction with a primary source is a concrete improvement even when an AI service has not yet reflected it.
